"We'll sort the paperwork later" always costs more

Every contractor has said it at some point on a busy job. Here's why the paperwork you push to later almost always ends up costing far more than it would have taken to do at the time.

It's an understandable instinct. The job is moving, the client is happy, everyone's busy, and stopping to write something down or take a photo feels like it can wait until things are quieter. The trouble is that things are rarely quieter, and by the time anyone circles back, the details that mattered have already gone: who exactly agreed to the change, what the site looked like before that wall went up, which day the delay started.

The cost of this shows up in a few predictable places. Variations that were verbally agreed but never priced or confirmed in writing, so the client disputes the final invoice. Delays that were caused by something outside your control, weather, late information, a client change, that nobody can now prove happened on the days claimed. Defects that get argued over because there's no record of the original specification the client agreed to, only what they remember agreeing to.

There's also a compounding effect that's easy to underestimate. Paperwork done at the time takes a fraction of the effort of paperwork reconstructed later. Writing a note the day a variation is agreed takes thirty seconds. Reconstructing that same information three months later, after multiple other jobs have happened in between, means digging through messages, asking the client what they remember, and hoping everyone's version lines up. It rarely does, and the reconstruction itself can take hours for something that would have taken seconds at the time.

The firms that don't have this problem aren't necessarily more organised people. They've just built the recording of information into the moment the work happens, rather than treating it as a separate task to be done later. A photo taken as work progresses. A one-line note sent the moment a decision is made. None of it feels like paperwork because it isn't, it's just part of doing the job properly.

That's the whole point of Sitestack. It's not a paperwork system you have to remember to update separately from your actual work. It's built to capture what's happening as it happens, so "we'll sort it later" stops being a decision you have to make at all.
